These Terms & Conditions govern the use of the OneTenancy platform, website and related services.
By accessing or using OneTenancy, you agree to these Terms. If you do not agree, you must not use the platform.
2. About OneTenancy
OneTenancy provides a digital rental application platform that allows:
- Tenants to create reusable rental application profiles.
- Letting agents and landlords to invite tenants and manage applications.
- Users to upload supporting documents and application information.
OneTenancy is not a tenancy agreement service, legal advisor, credit reference agency or financial institution.
3. User accounts
Users are responsible for:
- Keeping login credentials secure.
- Providing accurate and truthful information.
- Maintaining up-to-date account information.
- All activity carried out under their account.
We may suspend or terminate accounts that violate these Terms or are suspected of fraudulent, abusive or unlawful activity.
4. Tenant responsibilities
Tenants must ensure that all information submitted through OneTenancy is accurate and truthful.
This includes, but is not limited to:
- Identity information
- Employment and income details
- Address history
- Guarantor details
- Uploaded documents
Providing false or misleading information may result in account suspension and may affect tenancy applications.
5. Agent responsibilities
Letting agents and landlords are responsible for:
- Using applicant information lawfully and in accordance with UK GDPR.
- Maintaining the confidentiality of tenant data.
- Ensuring they have the legal right to process tenancy applications.
- Using the platform in a professional and lawful manner.
Agents are solely responsible for tenancy decisions and referencing outcomes.
6. Subscription plans and billing
Certain features of OneTenancy may require a paid subscription.
Subscription fees, billing cycles and trial periods are displayed at the time of purchase.
Payments are securely processed through Stripe.
Unless otherwise stated:
- Subscriptions renew automatically.
- You may cancel at any time before renewal.
- Fees already paid are non-refundable except where required by law.
7. Platform availability
We aim to keep OneTenancy available and secure at all times, but we do not guarantee uninterrupted access.
We may:
- Update or modify features
- Perform maintenance
- Suspend access temporarily
- Remove features or services
without prior notice where reasonably necessary.
8. Data and privacy
Use of OneTenancy is also governed by our Privacy Policy.
By using the platform, you acknowledge that personal information may be processed and stored in accordance with our Privacy Policy.
9. Intellectual property
All branding, software, content, designs and platform functionality relating to OneTenancy remain the property of OneTenancy or its licensors.
Users may not:
- Copy or redistribute the platform
- Reverse engineer the service
- Attempt unauthorised access
- Use the platform for unlawful purposes
10. Limitation of liability
To the maximum extent permitted by law, OneTenancy is not liable for:
- Loss of income or profits
- Loss of tenancy opportunities
- Business interruption
- Indirect or consequential losses
- Decisions made by landlords or agents
- Incorrect information submitted by users
Nothing in these Terms excludes liability that cannot legally be excluded under UK law.
11. Termination
We may suspend or terminate access to OneTenancy at any time where:
- These Terms are breached
- Fraudulent activity is suspected
- The platform is abused
- Required by law or regulation
12. Governing law
These Terms are governed by the laws of England and Wales.
Any disputes relating to OneTenancy shall be subject to the exclusive jurisdiction of the courts of England and Wales.
